Automated Onboarding Surveys allow admins to gather key feedback from employees with the freshest eyes to make impactful decisions that ensure new hires become your next tenured employees. Onboarding surveys help admins measure and optimize every employee's new hire experience.
Before you start
- Unlike engagement or pulse surveys, onboarding surveys are identifiable so that the account admin can follow up with the employee if necessary.
- Admins can create multiple onboarding surveys to account for different cohorts.
Note: Onboarding survey notifications are sent only via email.
Create an onboarding survey
- Navigate to Admin > Engagement > Surveys.
- Click Create new survey > New Onboarding survey.
- Choose to use Lattice's Onboarding template or create one from scratch.
Designing your onboarding survey
Settings
Survey name
Give your survey a specific name so that down the line, you can easily find it again. We recommend having the type of survey and the date in the name, for example, "Onboarding Survey Jan 2020 Cohort".
Survey details
Survey details help provide employees with a brief description or instructions to help them respond to the survey. For example, you can link to outside resources that give participants a better understanding of their expectations. You can also use the description to clarify language - such as a callout to keep their direct supervisor in mind whenever a question references the word "manager." Remember to keep it brief; longer descriptions can increase bias. Survey details will be shown to all participants before starting the survey and are accessible throughout.
Survey admins
Survey admins can configure survey settings and fully access the results. You can set admins on a per-survey basis so they can be an admin of a survey without having administrative access to other parts of Lattice (reviews, private feedback, etc.), including other onboarding or engagement surveys. You can return to this step after launching your survey to add or remove survey admins.
Questions
The first step of the onboarding survey process is deciding which questions you will ask.
Lattice Surveys come with a question bank based on the Lattice Onboarding template. You can remove any questions or add your own. To add custom questions, create the question within the question bank first before adding it to your survey.
Automation
The Automation step allows you to customize the schedule for recurring onboarding surveys.
When to send a survey
Surveys are automatically generated for new hires using the Start Date field. Choose to send a survey to new hires 14 days, 30 days, or a custom number of days after the employee's start date. The day count is based on regular days, not business days.
Note: If the trigger lands on a non-business day, the survey will launch on the next business day. For example, if the launch date lands on Saturday, the survey will launch on a Monday. You will have the opportunity to send manual reminders after the survey has been published.
Survey due date
The due date determines how long the new hire has to answer the survey before the survey is expired. Employees will not be able to submit surveys after their due date passes.
Survey reminder
The reminder is a courtesy email sent to the new hire to complete their survey. The reminder is sent to employees who have not responded to the survey.
Participants
Choose who you want to fill out your survey.
- All new employees: An onboarding survey will be sent to new hires based on the number you set for how many days after an employee's start date a survey should be sent.
- Specific new employees: An onboarding survey will be sent to new hires based on the number you set for how many days after an employee's start date a survey should be sent and their field.
Under Upcoming surveys, Lattice will list the employees who can expect to receive a survey after the configured amount of days after their start date. Employees cannot be manually added or suppressed from this list, so it's essential that the employees' start dates are correctly configured.
Lattice will complete a one-time look-back for those new hires who just started. For example, if a new onboarding survey is set up to send surveys 7 days after a new hire's start date, Lattice will look back 7 days from the survey publish date to catch any recent new hires.
Verify
Review your configurations before activating the survey and Activate.
Once you have activated your survey, you will have the option to edit the survey configurations for any future onboarding surveys.
You will be taken to a confirmation page after activation. From here, you can:
- Edit your survey.
- View upcoming surveys.
