Admins and survey admins can share onboarding and exit survey results with other employees at the company. Admins can:
Share partial results
Admins can share a subset of the survey results based on set filters with employees, e.g. sharing department results with a department head. The filters set will be locked for users when accessing their view.
There are two ways admins can share partial results:
- Share automatically with role-based sharing
- Create a custom view based with filters
Role-based sharing
Engagement surveys will create default views for the following:
- Departments: Only includes results for all department members
- Managers: Only includes results from direct reports
- Custom: Only includes results based on a saved view
To share results based on roles:
- Navigate to the Sharing section of the onboarding survey.
- Select a role-based view.
- (Optional) Click Settings to customize the view for all roles:
- Add a Message that will be shared with the recipient of the results
- Toggle on Show comments to allow the employee to view the anonymous comments from survey responders.
- Toggle on Enable export to allow the employee to export the results as a CSV
- Toggle on Enable filtering to allow filtering results when viewing responses
- (Optional) Preview the view by clicking the Preview within the role row.
- Click Share.
- Within the Share with dropdown, add the recipients of the results and click Share.
- Note: Ensure that their default roles include visibility into full access to onboarding surveys by clicking Edit permissions and adjusting any visibility.
Create a custom view
Admins can create a custom view to share using the available custom and default filters. The selected filters will become locked for the user given access when viewing results.
- Navigate to the Results section of the onboarding survey.
- Apply the desired filters you want to share, e.g. Office Location: NY.
- Click Share results > As custom view.
- The Custom View context panel will appear — Give the custom view a name.
- Under Share with, select the employees who should have visibility into the custom view survey results.
- (Optional) Toggle on different Settings to customize the view for all roles:
- Toggle on Show comments to allow the employee to view the anonymous comments from survey responders.
- Toggle on Enable export to allow the employee to export the results as a CSV
- Toggle on Enable filtering to allow filtering results when viewing responses
- Click Share.
Share full results
Employees with access to the full survey results can view scores and, if enabled, anonymous comments submitted by everyone in the company.
- Navigate to the Results tab of the engagement survey.
- Remove all applied filters and click Share results > As custom view.
- The Custom View context panel will appear — Give the custom view a name.
- Under Share with, select the employees who should have visibility into the custom view survey results.
- (Optional) Toggle on different Settings to customize the view for all roles:
- Toggle on Show comments to allow the employee to view the anonymous comments from survey responders.
- Toggle on Enable export to allow the employee to export the results as a CSV
- Toggle on Enable filtering to allow filtering results when viewing responses
- Click Share.
Optional settings: Enable filtering and Show comments
The following view settings can be adjusted for the employee who will have access to the results:
Enable filtering: Allow the group to filter results when viewing responses and heatmaps.
- Department heads and managers will never have visibility into results that are not within their organization.
- Non-admins will be able to view the following default attributes: Manager, Tenure, Gender, and Age.
- With the exception of the default attributes mentioned above, filtering capabilities are limited to custom user attributes that are visible to everyone; non-admins are unable to filter by Admin, Admin + manager only user attributes in shared views.
- This feature only allows the group to add additional filters to the results they have access to.
- If toggled off, the top filter bar and heatmap analysis will be disabled.
Show comments: Allow the group to view anonymous comments from survey responders.
- If toggled off, the Comments tab will not be visible within the view.
- If you have set the survey to allow managers or managers of managers to reply to anonymous comments, you will need to disable their access to replies before you can toggle off comments within the saved view.
