Overview
The Lattice AI Agent must be explicitly invited to each meeting by either participant and never joins automatically, unless an admin has enabled auto-add. Either party can remove it at any time. Every organization is different: we recommend reviewing your local regulations and company guidelines to ensure the AI Agent in 1:1s meets your standards.
Transcripts
- By default, meeting transcripts are not retained. Admins can set transcript retention in one-month increments, up to 12 months, if desired.
- Transcripts can be downloaded only by the meeting participants.

- Transcripts can be deleted by the participants. If only one participant deletes the transcript, then the other participant will still have access but if both choose to delete the transcript, it will be permanently deleted.
- If retained, transcripts are only visible to the participants of the 1:1 meeting.
- Admins and custom role owners will not have access to those transcripts within the platform.
- Admin impersonation does not allow admins or custom role owners to access transcripts.
FAQ
- What data is captured from meetings? When the Lattice AI Agent is invited to a meeting, the Recall-provisioned bot shown as the Lattice AI Agent will join the meeting. Recall provides Lattice with Transcript data and meeting metadata, such as meeting title, time, participants, and speaker attribution. Lattice does not collect audio/video data from the meeting. From the Transcript provided by Recall, Lattice generates derived insights, including summaries, action items, agenda suggestions, and coaching insights.
- Who owns the meeting data and generated insights? All meeting data and AI-generated insights are Customer Data as defined in the Lattice Data Processing Addendum.
- Is any customer data used to train Lattice models? No. Customer data is not used to train Lattice’s AI models. Meeting data is processed solely to provide the Lattice AI Agent in 1:1s functionality for the customer.
- Can customers opt out of any secondary use of data? Not applicable. There is no secondary use of customer data (e.g., model training, benchmarking across customers).
- Where is meeting data stored? Meeting data is stored within Lattice’s existing cloud infrastructure, consistent with the customer’s Lattice data residency and hosting configuration. Data is encrypted using Server Side Encryption at rest and in transit.
- How long is meeting data retained by default? If transcript retention is enabled, transcripts follow Lattice’s default retention policy of the life of contract plus 180 days. Admins can configure the transcript retention period within the Lattice AI Agent in 1:1s settings.
- Who can access recordings, transcripts, and coaching insights? Transcripts are deleted from Recall within minutes after processing, then transferred to Lattice and stored using Server-Side Encryption on our cloud infrastructure. On Lattice, access is strictly limited to meeting participants.
- Are insights visible to admins or managers outside the meeting? No. Admins, HRBPs, and other non-participants cannot view or download transcripts or insights through the Lattice platform.
- How does this interact with existing Lattice permissions? Meeting data respects Lattice’s existing permission model. Even users with admin or impersonation access cannot view meeting transcripts or insights unless they were a meeting participant.

- Subprocessors: Recall.ai is used as a feature-specific subprocessor solely to join meetings and generate recordings/transcripts. LangSmith provides monitoring and optimization for AI features. Both Recall.ai and LangSmith are formally disclosed in Lattice’s subprocessor list and governed by contractual privacy and security controls.
- How are participants notified that an agent is present? When the Lattice AI Agent joins a meeting, it clearly announces itself in-meeting with a disclosure that the meeting is being recorded and transcribed for Lattice meeting insights.
- Are there consent or opt-out mechanisms? Yes. The Lattice AI Agent in 1:1s is manually invited to meetings. Participants can see the Lattice AI Agent join the meeting and may remove it at any time.
