Best practice guidelines and tips for creating your review cycle!
Some Things to Consider When Creating a Reviews Question
If you are using your own template, start by creating your review questions in the Question Bank. Creating your review questions in the Question Bank will create a seamless process when creating your template.
- When considering private questions: Private questions are only visible to the admin and the reviewee’s manager. Employees will not have visibility into submitted private questions in their review packets. Make sure that you have the correct visibility setting for your review questions to ensure that your employees have the proper visibility into reviews submitted for them.
- When considering response types: Make sure that your response type pertains to how you want to phrase your question. You will not be able to go back and edit your response type or the content of the response type. Double checking that you have the correct response type will cut down on duplicative work in the future as well.
- Transfer your legacy questions into the question bank: If you have not done so already, we recommend that you move your legacy questions into the question bank. This will save you some time and manual work when you are looking to launch a future review cycle. Note that you will only need to do this if you created a review template before July 2019. Some Things to Consider When Creating Your Review Templates
- Move your questions from the question bank to the template: When drafting your template, the question bank will appear on the left-hand side of your screen. This allows you to quickly drop in the questions that you previously created.
- Preview your questions first: Make sure to preview the questions so you can verify that the questions match how you want to run your review cycle. This will save you from some extra manual work in the future if you add in an incorrect question.
- Do a final check: Do a final check to ensure privacy settings and response types all look correct. If everything looks good, hit save.
- If you need to make edits to a question in a template: If the template is not "in-use" (not used in an active review cycle), you will want to start by making these changes directly within your template. Updates made in a template will transfer over to the Question Bank.
Some Things to Consider When Creating Your Review Cycle
The old adage “measure twice, cut once” applies to setting up your review cycle in Lattice. While we allow you to swap out templates in an active review cycle, it does require some elbow grease to do so— and no one likes extra work! To save yourself time down the road, we put together some tips for setting up your review cycle:
- Determine your review cycle configurations before you set up your review cycle: Knowing what you’re looking for ahead of jumping into Lattice will make setting up your review more seamless. We recommend using our checklist to determine what settings fit your needs.
- Preview each template while configuring Reviewers during review cycle set-up: Pay special attention to the copy, visibility settings, and response type for each question. If you need to change anything, check out our guide to editing questions in a non- “In Use” template.
- Save the review cycle as a draft: Once you hit “Create review cycle,” templates are considered "In Use" and cannot be edited. If you anticipate making changes to the templates or need to review them with other stakeholders, we recommend saving the review cycle as a draft so you can continue to edit the templates. To save the review cycle as a draft, close the review cycle window by clicking the “X” on the upper right corner of your screen when you reach the Verify step.
- I realized I made a mistake and already hit create— what should I do: It’s okay— mistakes happen! If you haven’t launched your review cycle, duplicate the cycle and archive the old one. Then make the appropriate adjustments to the cycle configuration and templates before hitting “create.” If your review cycle has launched, please refer to our help center articles regarding editing in-use templates.
