The Equity page of a compensation cycle setup allows admins to add equity refresh grants and promotion equity grants.
Equity
The following can be completed when distributing equity grants:
- Refresh equity grants: Typically awarded based on tenure milestones
- Promotion quite grants: Typically awarded at the point of promotion or role change
Note: Admins can modify guidance equity refresh and promotion equity grant guidance during the active cycle if configured initially during setup.
Equity refresh grant
Admins have the option to include equity refresh grants in a compensation cycle.
To configure equity refresh grants:
- Toggle on Equity refresh grant.
- Under Who is responsible for making equity refresh recommendations?, choose one of the following options:
- Assigned manager: Gives managers the ability to view and update equity refresh grants in the cycle as compensation recommenders or approvers. An employee’s default approval chain is based on the company org chart and can be edited on the Managers page in cycle setup.
- Admin only (hidden to managers): Only admins, compensation admins, and compensation cycle admins can view and recommend equity refresh grants. Equity grants will not be visible to managers participating in the cycle as compensation recommenders or approvers.
- Under Who is eligible for a refresh grant?, choose one of the following options:
- Only include employees who started between [date range]: If eligibility is tenure-based, select the range of start dates for the eligible employees using the date picker.
- Select employees: If you want to define custom eligibility, use the Select employees option.
- (Optional) If you chose eligibility for Select Employees, click Upload equity refresh grants.
- Download the Equity refresh CSV template and update the following required fields within the template:
- Refresh eligibility (Y/N)
- Number of shares
- Award type (ISO, NSO, RSA, RSU)
- Exercise price
- Exercise price currency (3-letter currency code)
- Grant start date (MM/DD/YYYY)
- Term (months)
- Vesting cliff (months)
- Vesting cadence (daily, weekly, monthly, bimonthly, quarterly, biannually, or annually)
- Upload the updated CSV.
- Click Save.
Promotion equity grant
Admins have the option to include promotion equity grants in a compensation cycle.
To configure promotion equity grants:
- Toggle on Promotion equity grant.
- Under Who is responsible for making promotion equity recommendations?, choose one of the following options:
- Assigned manager: Gives managers the ability to view and update promotion equity grants in the cycle as compensation recommenders or approvers. An employee’s default approval chain is based on the company org chart and can be edited on the Managers page in cycle setup.
- Admin only (hidden to managers): Only admins, compensation admins, and compensation cycle admins can view and recommend promotion equity grants. Equity grants will not be visible to managers participating in the cycle as compensation.
- Under Who is eligible for a promotion grant?, choose one of the following options:
- All eligible employees receiving a promotion: Define eligibility based on promotions added on the Employees page in the compensation cycle setup.
- Select employees: Define custom eligibility and exclude some promoted employees.
- (Optional) If you chose eligibility for Select Employees, click Upload promotion equity grants and download the Promotion equity CSV template.
- Update the following required fields within the template:
- Promotion equity eligibility (Y/N)*
- Number of shares
- Award type (ISO, NSO, RSA, RSU)
- Exercise price
- Exercise price currency (3-letter currency code)
- Grant start date (MM/DD/YYYY)
- Term (months)
- Vesting cliff (months)
- Vesting cadence (daily, weekly, monthly, bimonthly, quarterly, biannually, or annually)
- Upload the updated CSV.
- Select Save.
