Before you setup
- Your E-verify account must be a Web Services - Employer account:
- You need to have a user in this account with a User role of Web Service Access.
- If the account is not Web Services type, the admin needs to delete the original E-Verify account and enroll a new one.
- E-Verify does not allow two separate accounts for the same company.
- Admin can run a Quick Audit Report from the original E-Verify account for historical reference before closing that account.
- To enroll a new account, go to https://www.e-verify.gov/employers/enrolling-in-e-verify and click on Enroll to begin creating a Web Services—Employer account.
- Please reach out to E-verify's help line for more questions on this requirement.
Set up the Integration
- Navigate to Admin > Platform > Integrations.
- Scroll down to Onboarding Integrations.
- Select Sync with E-Verify.
- Enter the User Name and Password.
- Select Connect.
If a user attempts to login to the Integration and sees the error 'Wrong credentials', this means their user role has not been set with Web Service Access.
- They will want to navigate to the E-Verify website, in the Top Right corner where their name is located, select Company Account>Manage Users.
- They'll need to add a new user with the Web Service Access Role.
Activity Log
To view the created cases in the last 30 days, admins can visit the Activity Log. Admins can see the Created Date, Approver and Current Status.
- Navigate to Admin > Platform > Integrations.
- Scroll down to Onboarding Integrations.
- Select the E-Verify integration.
Onboarding
Once a new hire has completed Section 2 of the I-9, the approver will receive a task on their Homepage to review this.
After completing the task and submitting it to E-Verify, action will then need to be taken in E-Verify. The case status will change to Awaiting E-Verify.
E-Verify Statuses
Admins are also able to view the status of the E-Verify case by navigating to Admin > Onboarding > Overview> Select an Employee. Under the Documents section, there will be a row for the Form I-9 with the following statuses:
- Draft on E-Verify: The E-Verify case is still a draft. Ask the approver to review this I-9 form to submit it.
- Action needed on E-Verify: The E-Verify case requires action to be taken by either the I-9 approver or the new hire.
- Awaiting E-Verify: The E-Verify case is being verified by DHS or the external systems.
- Tentatively rejected by E-Verify: E-Verify has initially rejected the case. The new hire will need to take action.
- Case creation failed in E-Verify: E-Verify case creation has failed. Ask the new hire to submit Section 1 of the I-9 again.
- Pending creation: E-Verify is still creating the case. Wait until the case is created to review the I-9.
- Approved by E-Verify: The new hire is authorized to be employed in the US according to E-Verify.
- Rejected by E-Verify: E-Verify has rejected the case.
